AI Labs Armenia is a talent partner that places senior AI, ML, software, data, and design engineers with client companies. This policy explains how AI Labs Armenia (“we”, “us”) handles personal information when you visit ailabsarmenia.com, contact us, engage us as a client, or join our talent network as an engineer or contractor. It is designed to follow common international expectations (including GDPR-style transparency). It is not legal advice—have qualified counsel review it for your situation, especially if you process special-category data or operate in regulated industries.
1. Who is responsible?

2. Scope
This policy covers information collected through our public website, email, phone, and similar channels when you reach out about our services, when you engage us as a client, or when you join our talent network as a candidate, engineer, or contractor. Separate agreements—master services agreements (MSAs), statements of work (SOWs), non-disclosure agreements (NDAs), and data processing agreements (DPAs)—govern specific engagements; for client data we process on your behalf under a DPA, you are the controller and we act as processor on your instructions.
3. What we collect
Depending on how you interact with us, we may process:
- Contact and inquiry data: name, email address, phone number, company, role, time zone, and the content of your message or brief.
- Technical data: IP address, browser type, device type, approximate location (derived from IP), referrer URL, and timestamps—typically through server or hosting logs and analytics if enabled.
- Candidate / engineer data (talent network): CV or profile information you voluntarily share, skills, seniority, links (e.g. GitHub, LinkedIn), portfolio, time-zone and rate preferences, availability, references, and interview notes—used solely to evaluate fit and to match you with prospective client engagements.
- Engagement and client data: project briefs, role specifications, technical requirements, budget context, names and contact details of stakeholders, signed NDAs / SOWs / DPAs, billing and tax contacts, and reasonable records of engagement performance.
We do not aim to collect sensitive categories of data (e.g. health, biometrics) via this site.
4. Legal bases (GDPR-style)
Where EU/UK GDPR applies, we rely on one or more of:
- Legitimate interests: operating the site, responding to inquiries, fraud prevention, and improving security—balanced against your rights.
- Contract: steps before a contract or performing a contract (e.g. preparing a staffing or services agreement).
- Consent: where we explicitly ask (e.g. optional marketing); you may withdraw consent anytime.
- Legal obligation: where required by applicable law.

6. Sharing and processors
Service providers (processors). We use trusted providers (e.g. hosting, email, analytics, applicant tracking or CRM tools if adopted) who process data on our instructions and under appropriate safeguards.
Candidate profiles to prospective clients. Where you have submitted a candidate profile to our talent network, we may share relevant excerpts—skills, seniority, portfolio links, availability, time-zone, and a focused summary—with prospective client companies on a need-to-know basis and only when there is a credible match. Where required, we obtain your consent before sharing identifying details. Once a client engages with a candidate (interviews, onboarding, or placement), the client typically acts as an independent controller of that candidate’s information for its own purposes; the client’s privacy notice will then apply to that processing.
Client data. Information you share with us about your roles, projects, or personnel is used to deliver our services to you and is shared internally on a need-to-know basis. Where we process personal data on your behalf under a DPA, we act as your processor.
We may disclose information if required by law, to enforce our agreements, or to protect legitimate legal interests.
7. International transfers
We are headquartered in Armenia and may work globally. If data moves outside your country, we use appropriate mechanisms where required (e.g. Standard Contractual Clauses, adequacy decisions, or other lawful tools).
8. Retention
We keep personal data only as long as needed for the purposes above—typically for the duration of a business relationship, plus a reasonable period for legal, tax, or dispute resolution unless a longer period is required by law.
Talent-network specifics. Candidate profiles are kept while you are active in our network. We aim to refresh or remove profiles after approximately 24 months of inactivity, unless you ask us to retain them longer or law requires otherwise. You can ask us to update or remove your profile at any time using the contact details below.
9. Your rights
Depending on your jurisdiction, you may have rights to access, rectify, erase, restrict, or object to certain processing, and to data portability. You may lodge a complaint with a supervisory authority. To exercise rights, contact us at the email above. We may need to verify your identity.
10. Cookies & similar technologies
We use only cookies or storage strictly necessary for the site to function unless we add analytics or marketing tools—if we do, we will update this policy and, where required, obtain consent before non-essential cookies run.
11. Children
Our services are directed at businesses and professionals. We do not knowingly collect data from children under 16.
12. Security
We implement reasonable technical and organizational measures to protect personal data. No method of transmission over the Internet is 100% secure.
13. Changes
We may update this policy from time to time. The “Last updated” date will change; for material changes we may provide additional notice where appropriate.
